FACILITY, ASSEST AND MAINTENANCE MANAGER

Comments: I have been able to track all my company’s asset and secure them, we have lost machines in the past due, to lack of organised recording, scheduling for maintenance now made easy, all documentations about our facility are all in one application, making me a more organised maintenance manager.

Pros:

the application is user friendly, very efficient in managing our site tools and machines, the customer support are also very responsive, my workers and machine operators could use the application even with little IT knowledge, i also use the application to manage budget by allocating cost for each asset, so I can evaluate or plan work schedule or plan a maintenance schedule for my future projects.

Cons:

I really don’t have complains, the application works perfectly, and when their are issues with the software the customer support respond fast

Pros:

I appreciate the simple user interface and the inclusion of QR codes for reactive maintenance requests, a feature that sets this CAFM system apart from others. The system's user-friendly nature and self-explanatory design are commendable. The practice of sharing additional modules developed by the Trackplan development team with all system subscribers is a great advantage. Furthermore, the support for multiple languages is a valuable feature. The pricing structure, which is based on the number of jobs per year rather than the number of user licenses, represents a significant cost-saving advantage. The ease of uploading and downloading large amounts of data, as well as the straightforward job scheduling and tracking, are also highly beneficial. I am particularly pleased with the customer support, as the response to queries is consistently prompt, often within the same day. Additionally, the regular communication of system updates by the Trackplan team ensures that important updates are not overlooked.

Cons:

I suggest making the job duration more explicit and easily accessible by featuring it prominently on the initial page when a specific job is selected. Simplifying the process for technicians to start, pause, and complete job durations will improve efficiency. Moreover, enhancing the final Work Order template to incorporate the checklist in the work order details, which can be printed as a hard copy and shared with the client, would be beneficial.

Comments: For some time now, we have been using our own in-house (Excel based) system for managing compliance and maintenance. We have been looking for a web based replacement for nearly two years. Trackplan ticked all the boxes and stood out on ease of use and pricing.
Migration from our existing system is a breeze. Over 1200 room locations, 230 schedules, 4,700 assets to date, all migrated using Trackplan templates.
Trackplan replaces our outgoing system but we have plans to use it's extra features and have it to do so much more for us.
Customer support has been excellent and the Dev team are open to making changes to accommodate the way we work.

Pros:

Easy to navigate. Easy to set up assets, schedules and Jobs. Very responsive customer support.

Cons:

I've nothing to add here. I can't find anything negative to say about the product.

Comments: We have been part of the journey with TP and see how hard [sensitive content hidden] and the team put into maintaining the software and all customisations are available to all. We scanned for the idle software where customisations could be included and TP does this for us.

Pros:

Ease of use for our team. Tracking and location functionality. We are able to use any type of electronic device to hand to carry out our works and reporting.

Cons:

Having to navigate through different pages to search for items where a master search bar could reduce the amount of trawling though pages to get to the end result.

An incredibly versatile software

Pros:

An incredibly versatile software that can manage a range of jobs across multiple teams and sites. Its ease of use for set up, additions and modifications makes it very attractive to the helpdesk administration and management. Trackplan FM has a range of features such job request link, QR code usage, forms, contractor management and purchase order request management and navigation through the desktop and mobile application is very intuitive. The management team are very responsive and proactive in both introducing new and enhancing existing features throughout the application via update releases at a greater frequency than would usually be expected. A very stable system frequently applauded by administrators, managers and technicians.

Cons:

Any initial minor issues were addressed in a timely manner and the team is very open to exploring proposals.

Comments: Overall has been very good. The team like the ease of use.

Pros:

Ease of raising jobs on - our old system was time consuming. It's easy to search for jobs if you can't remember a site you can filter by keywords in the description.

Cons:

Alot of the setup was manual entry - Trades were manual, Trades and areas should be able to be set independently (especially if you're not using job throtle) Not all of my resources can over all trades in all regions.

Clear and simple CMMS

Comments: Superb, I had searched the market for 12-18 months and couldn’t find a product that worked "outside the box", this system is highly customisable and strongly recommend it

Pros:

Trackplan has transformed the way we operate our complex estate, it has allowed us to centralise all elements of estate and facilities management, asset management and costings. It has allowed us to forecast budget spends and implement a longer term maintenance replacement program, instructing jobs to internal and external contractors was simple and we got their buy in early doors

Cons:

When setting the system up it was very time consuming, this could be down to the particular way we needed it to operate, however there is a great support network and online training sessions were provided, honestly most of the system set up was self taught due to the ease in using the system.

User friendly and feature heavy system

Comments: Really pleased we found Trackplan after a very long CAFM sourcing process. It's really good value for such a feature heavy system and it's getting better all the time.

Pros:

The system is intuitive to use, and it's easy to train even technophobes how to use the features. We have at times manipulated certain processes to work within some internal processes with the great support of the Trackplan team. The ability to adapt the system in this way has proved invaluable and I love being able to work on development ideas to really tailor to our particular requirements.

Cons:

I think the biggest issues we've ever had with Trackplan is down to the fact that we're not using 100% in the way that it was intended to be used. I don't think there has been anything that we haven't been able to work around though with the help of [sensitive content hidden] and the team.

Pros:

Trackplan is a fantastic work order management system with great features that our business make great use of. We operate anything from reactive maintenance, compliance and also the likes of assets. We make great use of advanced features such as job throttling to distributed work equally across our supply chain and based on the numbers of things this system is capable of which fits our business needs I don't think any other system can compare.

Cons:

I wouldn't necessarily have this as a real bit time negative point but certain features don't work together and then also parts are found to have bugs which is normal in any online software.

Track Plan had provided increased visibility of our maintenance

Pros:

PPM scheduling is simple and effective within the system, allowing you to create bespoke schedules for various elements of PPM. You are also able to configure certain areas of the system to meet your own business needs. Reactive maintenance is also simple to management and along with the resource app, works can progress quickly and provide live data.

Cons:

There is nothing that I do not like at this time and the system works well and meets our current requirements. it would be useful if the system could link with external finance systems ie SAGE or Navision and some contractors use other portals and have asked if they can link their system to Track Plan. this would be good upgrade.

Comments: Fantastic experience, we spent nearly 2 years souring a suitable replacement for our existing CMMS system, having looked at more than 20 similar systems Trackplan stood out for its potential transition from our existing to the new, its many features and good value
Trackplan has become much more than just a replacement CMMS system but a very useful reference tool and while its still early days in the setup for us we are very excited about the cost and time savings this system has to offer

Easy to use, excellent customer support, easy implementation, adaptability, asset management,

Cons:

its quite minor really but i tend to find the definition on the website slightly fuzzy, its not as crystal clear as i would like, it may be settings at my end

i cant get the full benfit of it as i am new to it and would need trained on it i took over from one of our men who left ,he showed me the best he could at the time but i no i could do alot more with it if i new how

Hi John, thanks for taking time to review Trackplan. Glad its going well. Regards the PPM side, I have ideas how we can improve a few areas to make it easier. For example on the schedule details page, include the list of sites on there which can be attached to the schedule and the next due date and resource allocated. Currently you have to expand the schedule on the PPM list, which does confuse people

Comments: About a year ago, trying to get away from Planon, we got stuck in an evaluation process of new FMIS suppliers. After six months we had another look at the market, and found a new player, Trackplan, with a set of new ideas, views, features.
After a short evaluation with a free trial, we went for a monthly subscription which resulted in a shortlist of 3 features or suggestions which we found were still missing for our situation. Trackplan implemented these in less than a month for a very moderate extra fee. We have now committed to a yearly subscription and are uploading our data to Trackplan, and training our team internally. In less than three months we will be fully rolling over from Planon to Trackplan.

Pros:

We are the facility department of a social security provider in Belgium, catering for about 40 small regional offices an 3 main haedquarter offices (100-450 workplaces). We used to have Planon as facility management software, but looking to a cheaper alternative better suited to our size and needing less IT support (better self-sufficient). Trackplan is a cloud service that much better fits our needs/budget and allows us to customize and tailor the its tools to our own views and experience. Very acceptable all-in monthly subscription price (compared to Planon about 1/10th). No surprises. Very nice set of features: sites, locations, assets; reactive and planned maintenance (based on schedules that can be linked to locations and assets); very nice calendar and job scheduling feature that allows creating new jobs, allocating unscheduled jobs, moving, splitting and reassigning jobs all in a drag&drop way. Interesting handling of documents relating to buildings and assets (eg. expiry dates). Support is fast and to the point. Good basic help files. Quick learning curve. And most importanly: the development team listens very carefully and is interested in your needs; they value user's input and suggestions for new features.

Cons:

We have a list of features and improvements to this young product that is however reviewed periodicaly with the developers; there is a roadmap so we know when a new feature/change will be released. So although there might be a number of wishes, we have confidence in this product's future. One thing you may need to take into consideration: you will need to involve heavily into setting up, customizing and training. Although a good FreshDesk support site with introduction documentation is available, training (online or onsite) is not available. We didn't miss this, but if you're new into computer managed facility management, you may have difficulty understanding the general concept of FMIS or CMMS.

So we do offer training and support that way! On-site training would be more difficult especially right now. From memory we never actually spoke which is incredible - normally there is at least 1 or 2 Zoom training / getting started calls. KARE Facilities Department Trackplan Overview

Comments: We are managing maintenance budgets better since the software was implemented over 3 years ago. The system also assists with regulatory reporting to governing bodies and identifying big spend areas and troublesome locations. Help is always at hand if issues are experienced and the Trackplan team provide an excellent customer relations service.

Pros:

The software is easy to use and very user friendly. Our Facilities Department find that the system provides a complete solution, in the total maintenance management of a large and diverse property portfolio, from a general maintenance / refurbishment perspective. The fact that we can also look at integrating planned maintenance schedules on the system will benefit the organisation going forward.

Cons:

Integration with the exisiting organisation accounts software and processes was easy. The fact that new additions / improvements are constantly being worked on, and can be added to your individual system depending on your needs, is fantastic and offers so much flexibility.

Maintenance management made to measure

Comments: As a maintenance manager I have to juggle the paperwork alongside doing the "proper" work of repairing everything everyone else brakes. Track plan consolidates the paperwork side of things for me. Everything under one roof means I don't loose time trying to find elusive bits of paper with a phone number scribbled in the margin, or continually refer between different programs and applications. All the information I need to run a job is in one place. Track plan is as useful as you want to make it. If you put the time into the initial data entry of your assets, resources and planned jobs you can quickly establish a comprehensive overview of the yearly work schedule. If like me your a bit of a digital dinosaur then things have to be easy to use and visually easy to read, this is where job diary aspect of this app comes into its own as it easily lets me record work quickly, either planned, or for the majority of the time as it happens. The flexibility of being out on a job and being able to do the paper work as it happens saves me from a pileup at the end of the day. You can also assign costs and use it to manage your budget, again the more you add in the more you can use it to better forecast (as much as you ever can in maintenance) the budget.
This is a brilliant piece of software because like all the best tools it's simple, easy to use and saves time. Job done!

Comments: Its made our lives a lot easy to stay on top of all our jobs we have at the mansion.

Pros:

How easy it is to use and how it makes arranging jobs easy to track and stay on top of. Helpful to see what jobs come up often.

Cons:

Would be nice to have an overview of the entirety of the year rather than going through month by month.
