Kantana saved my company
Pros:
It was available at the moment . It easily helped reorganize my project and was able go recover lost time and get the project back on track

Price was. Out of reach for me currently and had to pause it.

It's a fantastic time and task management system
Comments: Mavenlink sits directly on our Salesforce platform, and it has been great for our business to have a more comprehensive perspective from Pre-Sales through project close-out ever since we implemented the product about three years ago with the help of Mavenlink's amazing support. From the perspective of Resource Management, I find everything about Mavenlink to be extremely well executed.
Pros:
My preferred time management application is extremely feature-rich, allowing for extensive customization of how time and money are spent. Mavenlink is a great addition to our corporate finance tools since it provides us with a new way to examine data and monitor progress on several fronts simultaneously. For me, it's a plus that Mavenlink is always working to enhance its platform and provide new educational resources for its users.
Cons:
I haven't utilized many goods or features, but it would be helpful to have a consolidated dashboard where I can observe how everything is interacting with one another.

Pros:
We like the ability to share a work space with clients
Cons:
It is cumbersome and tough to get reporting out of. Also just the general space used for reporting leads to scroll bars inside of scroll bars.

Alternatives Considered:
New user, smooth implementation
Comments: The technical consultant support during the implementation was fantastic. Our POC was great about helping us stay on track with all that needed to be tackled as well providing us in the moment or chasing down answers we needed to keep things moving. Adoption within the organization has been successful - a mix of the training support we got from ML and our own custom support. But the intuitiveness of the tool helped the adoption be smooth. Now we are just starting to reap the benefits of the visibility, insights and better overall management of our work.
Pros:
We are new to having a PSA and PM tool. So it was great to go from each department having their own spreadsheets to one point of truth and full visibility across the project. But as well - all the in built finance management and integrations we setup has streamlined so many additional administrative elements of managing our work. And the real time visibility to project performance (timelines and finances) is great.
Cons:
Navigating some of the integrations has been a little longer than I would have hoped for the roll-out. The support to get things implemented was not as timely as we would have hoped.
Great System with Some Room for Improvement
Pros:
The project tracking, in terms of the timesheet collection and revenue management this works great for our business and is absolutely essential.
Cons:
From an overall user perspective, the system can be quite clunky to use without adequate training which has caused some hiccups.
Great time tracking but has many bugs
Pros:
Great to track / approve timesheets and allocate resources in your plan

Bugs stands forever and it’s not easy to use and navigate for first time users.
Great platform for project management!
Comments: The tool has been great, we never have any downtime, clients love it, and it helps us keep multiple projects on track. Customer support and our CSM have been responsive and helpful!
Pros:
Great tool for maintaining client communications and managing timelines effectively!
Cons:
It would be great for the Project Plan to have more configurations options and editing capabilities like in Excel.
Comprehensive solution for time tracking
Pros:
The time tracking and resource allocation features are very well integrated into the system (and with other systems like Jira). This has become our main view of anything to do with scheduling and timesheet management.
Cons:
To be fair, this is not about Kantata but the integration. While well done, Kantata replicates all comments from Jira and that leads to duplicate comments and notifications. It is more of an annoyance rather than a real problem.

Pros:
Kantata software is very good software for task management. Not only do I save time and productivity, but its user interface is easy as well as the prices which are proportional
Cons:
The disadvantages of kantata are that it does not have a free version and despite the easy access of its user interface, the latter remains a little customizable

Maximizing Operational Efficiency.
Comments: Project planning is great and business intelligence in a single platform is tremendously powerful. It has allowed me to have a clearer view of how resources are allocated and how projects are performing in real time.
Pros:
I like the ability to access detailed financial data and time tracking in the same system helps tremendously with project planning and budgeting.
Cons:
While customer support is helpful there have been occasions where responses to specific queries have taken longer than desired or when system updates have introduced changes that require an adjustment period.

Gantt Schedule (hard to display), Reporting (albeit powerful, application for creating reports is not user-friendly in the slightest)

The complete solution for efficient project management.
Comments: I love it a lot, from creating and assigning tasks to tracking the time spent on each activity and managing resources, I can have a more complete view of my projects in real time.
Pros:
It is very good and I no longer have the need to jump between different tools or documents to be able to have a clearer view of the status and progress of my projects.
Cons:
Well, the platform allows me customization to a certain extent, there may be limitations in terms of completely adapting to the more specific needs of certain organizations.
Great Option

Overall it felt a bit fussy. There were more options than we needed and it sometimes felt overwhelming.

It is great to have all of our tools in the one place that integrates with the rest of the business.

The booking calendar isn't as granular as we have been used to, but that is more of a change management requirement on our end.

It's great to have a single tool to manage projects, time and expenses, also it gives you a great visibility or resource utilization. Also it gives you a great overall analysis on all of your projects

Needs Improvements But Works Well for Viewing Burn Rates
Comments: In the beginning, Kantata really helped us have a better view of project health, but as we have grown and clearly defined processes, etc. Kantata has not grown with us. It looks and feels dated.
Pros:
The best thing about Kantata is the ability to see project burn rates at a glance. The time-tracking system is a huge part of that being accurate as well. There are multiple options for our team to track their time so that we can see project burn rates.
Cons:
There are several things that haven't been improved at all in the 6+ years that we've used this software. For example, basic things like not being able to customize your task statuses (or at least new options being added), being able to mark a task as complete even when none of the checklist items have been checked off, and not getting a notification when a due date is coming up to remind a team member of a deadline before it is missed, etc. The mobile version is pretty much useless which is sad now that the working world is mostly remote.
Good system but some frustrating issues
Comments: Useful overall, but the more time I spend with it the more I realize it is missing some key functionality that would save a lot of time. It's much more difficult to update a project in Mavenlink than past systems I've used, and I think there are some beneficial tweaks that could be made
Pros:
From an ease of use standpoint, time entry and project creation is fairly straightforward. It's also nice to have access to so many reporting features, although I imagine that's even more valued by the leadership team rather than staff.
Cons:
Three major issues stand out to me and my colleagues: 1- the software is very slow at times, and the more time I spend making edits to a project the longer it takes. In some cases, the lag is so bad that a task that should take 10 minutes ends up taking 30 since I wait so long for the system respond. The more tasks and individuals assigned to a project, the worse it is. Customer service suggested I delete my cache, but this was a temporary and fairly ineffective solution 2- It'd be great to have a simple place where I can see exactly how many hours a team member has on a project. Right now, we can only see time assigned to individual tasks, and then need to calculate the total manually 3- When tasks get extended or shortened, it'd be great to have a way to have Mavenlink automatically distribute time accordingly. For example, if I have 1 hour assigned for a 1-week long task, it'd be nice if I could automatically change this to 30min/week if that task were extended to being 2 weeks long. I know time can move automatically if the gantt is updated, but that only works if the task stays the same duration and hasn't started yet. Other systems offer this feature

Great at what it does but too limited
Comments: Mavenlink is a tool that definitely helps with project management, time tracking, and resource management. I would like to see it become a bit more colorful and implement some of the features that other project management and agile tools have as standard such as: color coding and duplication of entire projects.
Pros:
I like the ease of adding tasks, making templates for projects, logging time for tasks, and scheduling shared resources.
Cons:
I would like to be able to color-code things (tasks and projects) to more easily tag similar items. I would prefer to see when posts were added to the activity feed and not just which day. I would like to be able to see a resource's task list from their perspective. It would save a lot of time if you could duplicate a project if all but a few details were going to be identical.

Our Next-Generation Project Management Tool
Comments: Our overall experience has been wonderful over the past few years. We were able to enable our PM team to become more metrics and data-driven, expanding their capabilities. Change Orders are a big business process that we solved by using Mavenlink. Approval and communication have been GREATLY streamlined! Before, we were managing change orders through written communication and supporting documentation, but now we are able to have the discussion in project meetings, then pass through the Change Order approval as a budget change and there is an affirmative action on their part. It's great!
Pros:
The activity dashboard is the best part of Mavenlink. A feed that allows you to keep track of official communications and notes is perfect, plus it keeps clients involved. The API is also very strong and allows us to generate reports FAR beyond what is offered by Mavenlink. Our ability to manage projects and people has greatly increased due to the features that have been implemented since we switched to Mavenlink.
Cons:
The Gantt chart needs a lot of work. The interface is slow and clunky, plus it is not a great view for the executives and sponsors, visually speaking. The purpose of this chart is not really to "manage" the project, but instead show a high level overview of everything. There is currently no great way to show this to execs and sponsors. There needs to be a better mobile experience as well. We need a fully functional way to log time, complete tasks, post activity and generally manage projects from Android and iOS.
Increased capabilities for our company as a whole
Comments: I really like both the time tracking and invoicing modules. I find them to be pretty flexible and easy to use. Some other areas require more manual work than I'd like, but overall, we are happy with Mavenlink and can live with the things we don't like.
Pros:
I like the ease of updating time tracking and making changes after the fact. I like the ability to quickly see project run rate and status. Our last CRM had very limited skills and resourcing capabilities, and so this was both one of the big reasons why we switched to ML and one of the best things about the product.
Cons:
I don't like the limitations on setting boundaries on projects. Mavenlink requires much more manual work than our last CRM in the invoicing and expense categories. There are some things that just don't make sense to me, like having the ability to mark expenses as paid. We've had to create a tracking system outside of ML in order to deal with expenses. I also don't like that administrators can't update/edit expenses.
Best Project Management System
Comments: Overall, it has allowed for our organization to be much more collaborative and detailed in our work.
Pros:
The features that I find the most helpful are the ones that allow us to track the tasks and expenses of projects for our clients.
Cons:
Sometimes the support can be slow when technical issues occur.
Efficient and easy to use project, timesheet and allocation management tool
Comments: The overall experience of using mavenlink has been outstanding. Timesheet and project management has never been easier. The resource and allocation management are charm and a time-saver.

Cons:
Not much of a con, but ease of use is something that could be improved. In our organization also, we give a small session to any new mavenlink user before onboarding them on the software

Difficult to reconcile with our accounting software - rounding issues
Pros:
Easy for resources to book time against multiple different projects - good data contained in time entry exports (granular, gives lots of information that I can pivot off of to provide different views to the end customer)
Cons:
Mavenlink rounds time entries billed at an odd number (such as $171.77/hr) that are logged in half-hour or quarter-hour increments differently than Sage IntACCT - this makes reconciliations arduous when it's time to invoice the customer.
Achieve that 30,000 ft view!
Comments: I have been using Mavenlink as the primary account administrator for two different companies over the course of four years. The suite has proven to be an integral tool in my everyday professional life within the Marketing industry. It allows my teams to see only what they need to primarily be involved with for any particular day and clears away other clutter they may not be associated with. However, most importantly, it allows many different views when it comes to upcoming work capacity and profitability. This is the feature we were primarily after when signing up for Mavenlink. The instant-update gantt charts allow us to see both all of our current projects and each individual project. This, in addition to the robust resource management tools that are constantly being improved, as enabled our Production team to kick project input and scheduling into overdrive! Our Copy and Design teams love the real-time proofing module as well. The comparison tools are really slick.

Depth of data analysis and business intelligence, gantt charts, deep task detail options, resource scheduling tools, built-in expense and budget tracking
Cons:
There is an intermediate learning curve and may come across as immediately complex to the uninitiated creative. However, 10-15 minutes of poking around and taking advantage of the learning tools and startup tutorials offered by Mavenlink's stellar customer service program will address this minor concern. Mavenlink is a fantastically powerful information source, and with that power comes some proper approach and learning. It's all intuitive, though!
